New Centre Affiliation Process

1. Introduction:

The document provides guidelines for computer training centers to obtain affiliation with Cimetrix Institute of Information Technology Pvt. Ltd. The purpose of affiliation is to:
  • Standardize quality education.
  • Ensure uniform curriculum delivery.
  • Provide recognized certification for students.

2. Eligibility Criteria:

Centers can apply if they meet the following:
  1. Legal Registration - Must be registered under applicable laws.
  2. Infrastructure - Classrooms, computer labs, internet facilities.
  3. Staffing - Qualified teaching and technical support personnel.
  4. Compliance - Safety, hygiene, and administrative requirements.

3. Physical Infrastructure Requirements

A. Location & Layout

Area: 800-1500 sq. ft. (for ~20-30 students)

Rooms:

  • Computer Lab (main teaching area)
  • Theory/Classroom
  • Reception & Administration
  • Staff Room / Faculty Cabin
  • Washroom(s) and basic utilities

B. Furniture & Fixtures

  • Desks/tables for computers (sturdy, ergonomic design)
  • Chairs (comfortable, adjustable if possible)
  • Instructor's desk and chair
  • Whiteboard or digital display screen
  • Notice board / bulletin board

4. Benefits of Centre Affiliation with Cimetrix Institute:

Note: If you select more than one school, a flat 20% discount will be applicable on each additional school's fee (one-time only), excluding the renewal fee for the next year.


6. Student Registration Fee Policy:

Note 1:
The Course Admission Fee, Monthly Fee, and Examination Fee will be determined by the individual centre. The Head Office has no share in these fees.
Note 2:
The Head Office will charge only a one-time Registration/Examination Fee for each student enrolled in a Certificate or Diploma Course, as specified below:
Registration Fee: 20% of the total annual course fee.
This fee is payable only once per course.
Example:
If the annual course fee is Rs.12,000/-, then the one-time registration fee will be:
Rs.12,000 X 20% = Rs. 2,400
Hence, the Registration Fee = Rs. 2,400 only (for one course).

7. Documents Required:

Applicants must submit the following documents along with the affiliation application:
  1. Registration Certificate of the Institute/Organization.
  2. Identity & Address Proof of Proprietor/Head.
  3. Ownership or Rent Agreement of premises.
  4. PAN Card/Tax Registration details.
  5. Photographs of classrooms, computer labs, reception, library, etc.
  6. List of computers, software, and internet facilities.
  7. List of faculty with qualifications and experience certificates.
  8. Fire Safety/NOC (if required by authority).

8. Application Procedure:

  1. Application Submission - Fill out and submit the prescribed Affiliation Application Form.
  2. Fee Payment - Pay the affiliation/inspection fee as per guidelines.
  3. Inspection/Verification - An inspection team will visit the premises to verify infrastructure, staff, and compliance.
  4. Approval or Rejection - Based on the inspection report, the authority will grant or deny affiliation.
  5. Affiliation Certificate - Approved centers will receive an official Affiliation Certificate along with a unique Affiliation Code/ID.

9. Centre Activation Process & Timing

1. Activation of Centre Code:

The Head Office will activate your Centre Code within 12 to 24 hours after completing the necessary verification/Inspection process.

2. Confirmation Email:

Once your Centre Code is activated, a Congratulations Email will be sent to you by the Head Office.

This email will include:

  • Centre Login ID and Password
  • Soft Copy of the Centre Authorization Certificate

3. Welcome Kit Dispatch:

Within 2 to 3 working days after activation, the Head Office will dispatch a Welcome Kit to your registered address via Speed Post.

The Welcome Kit will include:

  • Hard copy of the Centre Authorization Certificate
  • Posters
  • Student ID Cards
  • Prospectus
  • Admission Forms, and other related materials.

10. Agreement & Terms

  • An Affiliation Agreement must be signed by the center with the parent body.
  • The agreement defines the rights to use the name/logo, curriculum, examination system, and certification process.
  • The affiliated center must adhere strictly to operational guidelines issued by the affiliating authority.

11. Operational Guidelines for Affiliated Centers:

Affiliated centers are required to:
  • Display the Affiliation Certificate prominently at the institute.
  • Conduct training programs strictly as per prescribed syllabus.
  • Register all students with the affiliating authority.
  • Maintain records of admissions, attendance, examinations, and results.
  • Submit annual/periodic reports and fees to the parent body.

12. Renewal of Affiliation:

  • Affiliation is granted for a period of 1 year to 3 years (as applicable).
  • Renewal requires submission of updated documents, compliance with norms, and payment of renewal fee.
  • The authority reserves the right to inspect and re-verify before granting renewal.

13. Termination of Affiliation

Affiliation may be withdrawn in case of:

  • Non-compliance with prescribed standards.
  • Misuse of the parent organization's name/logo.
  • Submission of false information or documents.
  • Any malpractice affecting the credibility of the affiliating body.
